Privacy information: Photo and video recording at events
As the organizer of or participant in events, we, SoSafe GmbH (hereinafter referred to as “we” or “SoSafe“), take photographs and/or video recordings (“image recordings“) of participants in the context of these events for the purpose of publicity reporting on the event. In accordance with the data protection regulations (Art. 13, 14 GDPR), we would like to inform you below about the type, scope, and purpose of the image recordings made by us, the use thereof by us, and the rights to which you are entitled as the person concerned.

2. Categories of personal data, purposes of data processing, and legal basis
We create and use images (photos and videos) of event participants for the purpose of publicity coverage of the respective event. In doing so, we may publish the image recordings together with details about the respective event, such as the name of the event, addressee group, speakers, location, and time. The legal basis for the processing is Art. 6 para. 1 p. 1 lit. f GDPR. The processing serves our legitimate interest in publicity coverage of the respective event.
3. Recipients of the personal data
3.1 Service providers and press
The images are processed by our employees or photographers and camera teams commissioned by us for the purpose of preparation and subsequent reporting. For the creation of print and online materials, the image material may also be passed on to external service providers, such as agencies, printers, and journalists for the purpose of SoSafe’s press and public relations work.

Since we do not have access to the social media providers’ databases, we would like to point out that you can assert your rights (such as to information, correction, deletion, etc.) directly with the respective social media provider.
4. Storage duration
Recordings that are not used following the event will be deleted immediately. The recordings used will be stored and published by us until revoked. In the case of external commissioning, the data will be deleted immediately by the service providers after completion of the commission (see item 3.1) and they will delete the data from their data carriers.
5. Your rights
You have the right to information (Art. 15 GDPR), to correction or deletion (Art. 16 and 17 GDPR), to restriction of processing (Art. 18 GDPR) and to data portability (Art. 20 GDPR). In addition, you have the right to complain to a data protection supervisory authority about the data processing of the image material by us.
Insofar as we base the processing of the recordings on legitimate interests (Art. 6 para. 1 p. 1 lit. f GDPR), you may object to the processing on grounds arising from your particular situation (Art. 21 para. 1 GDPR).
